Polster Kroeger Molini, Inc. ("PKM," "we," "us," or "our") is a Virginia corporation located at 315 Cannon Way, Warrenton, VA 20186. PKM provides intelligence analysis, cyber threat intelligence, and investigative due diligence services to U.S. Government agencies, government prime contractors, and commercial clients.

This Privacy Policy explains how we collect, use, share, and protect personal information when you:

• visit our website at www.polsterkroegermolini.com (the "Site");
• apply for a job with PKM; or
• contact us or do business with us.

This policy does not cover information we handle on behalf of our clients under a contract. That information is governed by the contract and by applicable government regulations.

02Information we collect

Website visitors

Our Site is informational. We do not require you to create an account. When you visit, our hosting provider may automatically record standard technical information, such as your IP address, browser type, device type, pages visited, and the date and time of your visit. We use this information only to operate and secure the Site.

If you contact us through the Site or by email, we collect the information you choose to provide, such as your name, organization, email address, phone number, and message.

Job applicants

When you apply for a position, we collect the information you provide in our application form, your resume, and our communications with you. This may include:

• contact details (name, email, phone, city and state);
• work authorization and U.S. citizenship status;
• security clearance level, status, polygraph type, and investigation date;
• education, work history, military service, skills, certifications, and languages;
• desired compensation, availability, and work preferences;
• professional references; and
• any other information you choose to include.

We do not ask applicants for Social Security numbers, dates of birth, or financial account information during the application process.

Clients, partners, and business contacts

When you work with us or communicate with us about business, we collect business contact information such as your name, title, organization, email address, and phone number, along with records of our communications and transactions.

03How we use information

We use personal information to:

• respond to your inquiries and communicate with you;
• evaluate job applications, schedule interviews, check references, and make hiring decisions;
• provide our services and manage client, partner, and vendor relationships;
• operate, maintain, and secure our Site and systems;
• meet our legal, regulatory, and government contract obligations, including tax, employment, and export compliance requirements; and
• protect our rights and prevent fraud or misuse.

We do not use personal information for automated decision-making that produces legal or similarly significant effects.

04How we share information

We do not sell or rent personal information, and we do not share it for targeted advertising.

We share personal information only as follows:

• Service providers. We use trusted providers, such as Microsoft 365 for email, forms, and file storage, and our website host, to operate our business. They may process information only on our behalf and under confidentiality and security obligations.
• Professional advisors. We may share information with our attorneys, accountants, and insurers as needed for their services.
• Government contracting. If you are offered a position that requires a security clearance, we will share the information needed for your background investigation with the U.S. Government, and with a prime contractor when required, only after you consent and complete the required government forms.
• Legal requirements. We may disclose information when required by law, subpoena, or court order, or to protect the rights, property, or safety of PKM, our clients, or others.
• Business transfers. If PKM is involved in a merger, acquisition, or sale of assets, personal information may transfer as part of that transaction, subject to this policy.

We may also share information with your consent.

05Job applicant information

Do not submit classified information. Never include classified information in your application, resume, emails, or any other communication with PKM. Describe your experience only at an unclassified level.

We use applicant information only to evaluate you for current and future positions at PKM. Only PKM personnel involved in hiring can access it. Applications submitted through our online form are stored in our Microsoft 365 environment, and resumes sent to careers@polsterkroegermolini.com are stored in our business email system.

We ask about clearance level and status because many of our positions support U.S. Government contracts that require a security clearance. We do not ask about the content of your investigation or polygraph.

We keep applications for one year after we receive them so that we can consider you for other openings and meet recordkeeping obligations. After that, we delete them unless you are hired or ask us to keep your application on file. If you are hired, your application becomes part of your personnel file.

06How we protect information

We use administrative, technical, and physical safeguards appropriate to our business, including multi-factor authentication on company accounts, access limited to personnel who need it, encryption in transit, and written cybersecurity policies. No method of transmission or storage is completely secure, so we cannot guarantee absolute security. If we learn of a breach affecting your personal information, we will notify you as required by law.

07How long we keep information

We keep personal information only as long as needed for the purposes described in this policy, or longer when required by law, regulation, or government contract. Applicant records are generally kept for one year, as described in Section 5. Business records are kept for the periods required by tax, contracting, and other laws.

08Your choices and rights

You may ask us to:

• tell you what personal information we hold about you;
• correct inaccurate information;
• delete your information, subject to legal and contractual retention requirements; or
• stop contacting you.

To make a request, email privacy@polsterkroegermolini.com. We will respond within 45 days and may need to verify your identity first. Depending on where you live, you may have additional rights under state law, and we will honor them as required. We will not discriminate against you for exercising any of these rights.

09Children's privacy

Our Site and services are intended for adults. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us information, contact us and we will delete it.

10Links to other websites

Our Site may link to other websites, such as LinkedIn or Microsoft Forms. We are not responsible for the privacy practices of those websites, and we encourage you to read their privacy policies.

11Changes to this policy

We may update this policy from time to time. When we do, we will post the updated version on this page and change the effective date above. Material changes will be noted on the Site.
